Choosing hardware

Restaurant cash register: frequently asked questions

This page gives short answers to the questions Québec restaurant owners ask about their cash register and the hardware around it.

In short

To equip a restaurant in Québec, start with the point-of-sale software. If the restaurant is subject to mandatory billing, that software must be an SRS certified by Revenu Québec. Then choose compatible hardware: a touchscreen terminal, a receipt printer, a kitchen printer or display, a cash drawer and, if needed, tablets and pagers.

Key points

  • The point-of-sale software is chosen before the hardware.
  • A restaurant subject to mandatory billing must use an SRS certified by Revenu Québec, a compatible printer if necessary and an internet connection.
  • Revenu Québec’s certification applies to the SRS, that is, to the software.
  • Terminals, tablets, printers and readers in the G4POS catalogue carry their manufacturer’s one-year warranty.

Frequently asked questions

Which POS system should a restaurant in Québec choose?

Choose the point-of-sale software first, then the hardware it supports. If your restaurant is subject to mandatory billing, that software must be an SRS certified by Revenu Québec and designed to communicate with the WEB-SRM. Your reseller then confirms the compatible terminal, printer and other devices.

What equipment is required for mandatory billing (WEB-SRM)?

Revenu Québec requires three items: a certified SRS, an SRS-compatible printer if necessary, and an internet connection. A printer is needed to give a paper bill to a customer who asks for one. The SRS sends each transaction’s data to the WEB-SRM and produces the bill given to the customer. Before buying an SRS, check that it appears in Revenu Québec’s list of authorized products. To find out whether your establishment is subject to mandatory billing or qualifies for an exemption, see Revenu Québec’s pages on who is subject to the measures and on exemptions in the restaurant sector.

Does Revenu Québec certify POS hardware?

No. Revenu Québec certifies SRSs, that is, software, and publishes the list. It does not publish any list of certified hardware. For the printer, Revenu Québec states that the operator must make sure it is compatible and communicates with the SRS; the SRS developer can confirm this. Before going live, print a complete bill from your SRS.

Which kitchen display (KDS) should a restaurant choose?

Choose a kitchen display that your point-of-sale software supports: that is the first condition. Then check that it suits the heat where it will be installed and that it is large enough to read from the work station. With a non-touch screen, plan for a kitchen keypad (bump bar).

Should the kitchen printer be thermal or impact?

A thermal printer works in a kitchen if it is mounted away from heat and steam, which turn the paper grey. Close to the grills, an impact printer prints through a ribbon onto ordinary paper, and its print does not fade in heat. The ribbon then becomes one more consumable to reorder.

Which paper does the receipt printer need?

The MG80 in the G4POS catalogue uses 80 mm thermal paper, the common width at the counter and in the kitchen. The roll width must match the printer setting. Set to 80 mm with a 58 mm roll, the printer cuts off the end of each line; set to 58 mm with an 80 mm roll, it prints narrow.

The receipt printer has stopped printing: what should you check?

Print the printer’s self-test first: it shows whether the unit itself works. If it prints, the problem is the cable, the driver or the print queue; if it does not, check the paper, the cover, the power supply and the error light. A thermal roll loaded upside down feeds through without printing anything.

The cash drawer will not open: what should you do?

Check three causes in order: the key lock set to closed, a cable plugged in somewhere other than the printer’s drawer port, then software that does not send the open command. The key test rules out the first cause in a few seconds.

How many pagers does a restaurant need?

Count the parties waiting at the same time at peak: one pager is handed out per party. Add a reserve for units on charge and for losses. G4POS sizes the system, and the reseller installs it.

Where can a restaurant in Québec buy pagers?

G4POS has distributed LRS (Long Range Systems) pagers in Québec since 2016 and sells them mainly to resellers. The range includes guest pagers, staff pagers and call buttons placed on tables.

Do gift cards and loyalty cards work with the cash register?

Yes, if the point-of-sale software runs the program: the software keeps the balances. G4POS catalogue cards are PVC, printed in colour on both sides, with an encoded HiCo magnetic stripe, a barcode and a unique serial number. The minimum order is 1,000 cards.

Is the hardware under warranty?

Yes. The terminals, tablets, printers and readers in the G4POS catalogue are covered by their manufacturer’s one-year warranty. LRS products carry the LRS warranty: 2 years on transmitters, 1 year on pagers and trackers, and 30 days on accessories. If a unit fails, contact your reseller: they obtain the return authorization (RMA) from G4POS technical support.

Does G4POS sell directly to restaurants?

As a rule, no. G4POS sells mainly to point-of-sale resellers, integrators and consultants, who equip restaurants and keep the relationship with them.
